How to write an invoice as a freelancer in the Philippines

A good invoice answers every question a client's bookkeeper might ask before they pay: who is billing them, for what, how much, by when, and how to send the money. Start with your own name or your registered business name, your address, and your TIN if you have one — a client that withholds tax will ask for it. Give the invoice a number you can find again later; a simple running sequence (INV-0001, INV-0002…) is enough for most freelancers.

List each item or service on its own line, with a quantity and a unit price, rather than one lump sum — it is easier for a client to check, and easier for you to reuse next time. State plainly whether your price includes VAT, excludes it, or whether VAT does not apply to you at all; most freelancers are not VAT-registered, and saying so up front avoids a back-and-forth later. If a client is required to withhold tax from you, they will tell you the rate and give you a BIR Form 2307 — the "net amount due" on your invoice should be what actually lands in your account after that.

Add your GCash or Maya number, or your bank details, directly on the invoice so paying you is a single tap rather than a follow-up message. Set a due date — "on receipt", or a week or two out — and say what happens after that only if you actually intend to follow up; a due date with no consequence is easy for a busy client to slide past.

One thing this tool does not do: it does not replace the BIR-registered invoice or official receipt your business is required to issue under the EOPT Act. Use this billing statement to ask a client for payment quickly; issue your registered document alongside it, the way your business is required to.

FAQ

Questions people ask

Is this a BIR invoice?

No. Under the EOPT Act, the BIR-registered invoice is the official document for your sale. This tool makes a billing statement you can send a client right away — use it to bill them, and issue your registered invoice as required.

Do I need to sign up?

No. There is no account and no form to fill in beyond the invoice itself. Everything stays on your device — we don't see or store your invoice.

Can I bill a client in US dollars?

Yes. Switch the currency to USD for an overseas client; PHP is the default.

What do the VAT and withholding tax options mean?

Most freelancers are not VAT-registered, so Non-VAT is the default. If you are, choose whether your prices already include the 12% VAT or not. Withholding tax is only for clients required to withhold from you — they will give you a BIR Form 2307. This is not tax advice; ask an accountant if you are unsure which applies to you.

Where is my invoice data stored?

Only in your own browser, on this device — nothing is sent to any server. "Forget my details" clears everything the tool has saved.

The PDF didn't download on my phone — what do I do?

Tap "PDF didn't download? Open it" just below the Download PDF button — it opens the same PDF in a new tab, where your phone's own share or save option works. If you're inside Facebook, Messenger or another app's own built-in browser, open this page in Chrome or Safari instead; those in-app browsers are known to block the download outright.

Can I show more than one way to pay?

Yes — pick GCash, Maya, bank transfer or another method from the dropdown, then tap "+ Add another way to pay" for up to three, in the order you add them. Only the methods you actually fill in show on the invoice.
